What are your billing rates?You pay only 3% + GST on all paid claims (Invoices up to 90 days old) Debt collection rate of 6% + GST applies to all claims over 90 days old and up to 2 years old. This rate does not apply to invoices initial billed by us. Note: We can only submit inpatient claims up to 2 years old. The Health Insurance Act 1973, section 20B(2)(b), states that a Medicare claim must be lodged within 2 years from the date of service. If you have claims over two years old, you might be able to submit a late lodgement. For further advice, please contact us.

Is there a sign up fee for medical billing or minimum contract term?No! We do not charge any sign up fees or have any minimum contact terms. We only have a 30 day cancellation notice period to cease your billing service.

Are you the recipient of money from my claims or payments?No, payments from claims are directly deposited into your nominated bank account by health funds, Medicare, DVA, Work Cover, patients etc. You will receive an invoice for our services every month.

What type of claims can you handle?We can manage all types of Medical & Surgical billing claims. - Medicare / Bulk Bill - All Australian Health Funds (Including Known Gap) - DVA (Gold card) - Defence Force Claims (Through doctors own portal) - Workers compensation - CTP - Self-funded patients We can work with you on any invoice type and claims. Just ask us! You can also choose to use our billing software or your own practice software!

Can you help me sign up with Health Funds/Medicare?Yes, we will register all relevant health funds for you free of charge. We can also arrange new provider numbers for additional locations if required.

How long will it take to get paid?All claims are processed within 24 hours of receiving the claim details. (Provided all details are accurate) Processing times vary between health funds, Medicare, DVA, Third party CTP, workers insurance etc. Estimated payment times: Health Funds, Medicare & DVA: Generally within 1 - 4 business days. Workers insurance & Third parties - Generally within 4 weeks of being billed, however these claims can sometimes take an extended period of time, based upon each insurers payment policy. We may ask for copies of the surgery approval where applicable. Self-funded & Known-Gap clients - We encourage all surgeons to adopt a 'pre-payment' policy. This means any gap payments payable by the patient to the principal or assistant surgeon is paid prior to the date of surgery, reducing the risk of non-payments and debt collection fees. While payment times can be variable across the board, There's no need to worry! Our fees will only be charged once a claim has been paid in full! Our team follows up on all outstanding debts regularly, ensuring you are paid in the fastest time possible.

I'm an assistant surgeon, can you bill for me?Absolutely! We can bill on behalf of all principal & assistant surgeons! Rates remain the same!

What practice management software are your staff familiar with?Our staff have a vast knowledge of multiple practice management software programs which include, but are not limited to; - Genie / Gentu - Bluechip (Medical Director) - Clinic to Cloud - Best practice - Xestro - Zedmed - Power diary - Halaxy - Shexie Don't see your program? What hours are the phones answered?If using our call overflow or phone answering service, all calls are answered 9am – 5pm in your local timezone, anywhere within Australia! Your patients can still leave a message on a personalised answering machine outside of these hours. We respond to messages first thing, the next business day!

Is there a set-up fee for Virtual Practice Management or minimum contract terms?There are no set up fees and no lock-in contracts with us! There is only a 14 day cancellation notice period required. Our services are flexible in order to accommodate specialist practices' dynamic and unpredictable nature. Our commitment is to help your practice whenever you need it, no matter what your timeframe is!

My phone number already exists, will you be able to answer my calls?Yes absolutely! Your number remains the same and no number porting is required! We will set up a simple call diversion on your existing phone line to a unique practice number with us. There are no additional costs for this. All incoming calls will be handled by your assigned admin team. Our staff answers the phone in the same way as your practice would! Patients will be unaware we're not at your physical office, and our multi-step ring protocol makes sure calls are never missed by us!

Can we use your service on an ad-hoc basis?Yes, of course! We can accommodate your ad-hoc tasks during peak periods or in case of sudden or planned staff absences. We offer a variety of ad-hoc packages to suit your practice requirements. Get in touch with us for more information!
